Transform your construction business with AI
We give your company a digital office: AI Leads for accounting, estimating, sales, project management, marketing, admin and IT. They work every morning before you're on site, inside QuickBooks and JobTread. Your costs go down, your revenue goes up, and nothing that moves money or reaches a customer goes out until you approve it.
The GC for your back office. Your apps are the subs. You own the job.
Less bookkeeping, fewer office hours, early-pay discounts taken and no job priced at a loss.
Every lead answered the same day, more bids out the door and billing that goes out on time.
One morning briefing replaces the desk work you do at night. You decide; your digital office does the rest.
Same crew. Less paperwork. More profit.

A full back-office team, on the job by 7 AM
Seven AI Leads, each running one department, and a GM who briefs you every morning. You approve; they do the work.
Built inside a working construction company
Office GC grew out of Southcoast Building in southeastern Massachusetts. Every system we install, we built and run there first.
Run like a job, walkthrough to closeout
We scope it, price it once, build it and hand it over. You approve every step, the same way you'd run a remodel.
- STEP 1
Intro call and walkthrough
A free 30-minute intro call to see if we're a fit. Then a 75-minute walkthrough with you and your office lead, where we map who does what, in which program, how many hours it takes and where it goes wrong.
- STEP 2
Plans and price
A written scope and one fixed price, with the hours saved, the cost cut and the revenue gained spelled out.
- STEP 3
Build
We connect QuickBooks and JobTread, set up your app and stand up your Leads, starting with the department that saves the most hours.
- STEP 4
Handoff
Your team runs it on real jobs with us beside them. Nothing goes live until your office lead can run it alone.
- STEP 5
Warranty and service
Monthly support, tune-ups and new Leads or duties as your business grows.
AI drafts. You approve.
Every Lead reads everything and prepares the work. Nothing that moves money or reaches a customer, sub or supplier leaves without your OK: no payment, no invoice, no email, no proposal. As a Lead proves itself on routine items, you can let those through and keep the exceptions coming to your phone.
One fixed price, no hourly meter
After the walkthrough you get one number for the build and one flat monthly number for support. No ranges and no surprise invoices.
Who we work with
- General contractors and trade contractors: residential, remodel, HVAC, electrical and plumbing.
- You run QuickBooks Online and JobTread, or you're ready to move to them.
- You have someone in the office who will own the system day to day.
- You want to grow without adding office headcount.
Meet your digital office
A GM and seven Leads, each running one department of your back office. Each Lead works on a schedule every morning, writes up what it found and handled, and brings you only the decisions that need you.
Read everything. Prepare the work. Ask before it leaves.
General Manager
Your chief of staff. The GM reads every Lead's rounds and sends you one briefing before you leave the house. Once a month it sends the reports that tell you how the company is really doing.
The numbers, on the 1st of every month
- Profit and loss against last month and last year.
- Job profitability for every open and closed job: budget, actual, margin.
- Cash forecast for the next 30, 60 and 90 days, with any week below your cash floor flagged.
- Sales pipeline: leads in, walkthroughs, proposals out, win rate.
- Labor: crew hours against budget by job, and who's running over.
- Close packet ready for your CPA.
- Reads every Lead's rounds and pulls out only what needs you.
- Repeats anything that must be fixed (lapsed licenses, uninsured subs) every day until it's resolved.
- Flags any Lead that missed its run or any item stuck three days or more.
- Change a Lead's duties or close an open item.
- Send anything outside the company.
Accounting Lead
Every dollar lands on the right job, in the right account, on time, or you hear why not by morning. The Accounting Lead watches your money and owns your job profitability numbers.
| Job | Contract | Cost to date | Proj. margin | Budget used |
|---|---|---|---|---|
| 38 · Kitchen + bath | $142,300 | $71,900 | 31% | |
| 41 · Garage apartment | $211,900 | $164,200 | 18% | |
| 44 · Deck + siding | $48,600 | $12,300 | 34% |
- Daily: codes every bill and receipt to the job and cost code, lists anything it can't match, watches who owes you and what you owe.
- Progress payments: gives your customer a heads-up before a draw comes due, so payments arrive on time.
- Weekly: stages the payment run with early-pay discounts flagged in dollars, forecasts cash 30, 60 and 90 days out, and reports profit on every job.
- Monthly: reconciles bank and credit cards, clears exact matches, and hands your CPA a clean close packet.
- Keeps QuickBooks and JobTread in agreement, job by job, in both directions.
Estimating Lead
From plans to a signed proposal in days, not weeks. The Estimating Lead runs your takeoffs, gets prices from your subs and suppliers, builds the budget in JobTread and drafts a proposal for your review.
Plans in. Proposal out.
- 1 · PLANSRead the plansMeasures true to scale from your PDF plans: walls, roof, openings, floor areas.
- 2 · TAKEOFFSTakeoffs by tradeFoundation, framing, roofing, siding, windows, insulation, drywall, trim, flooring, tile, decks.
- 3 · QUOTESSub and supplier requestsSends a scope and quantities to your subs and suppliers, chases replies and lines the answers up side by side.
- 4 · LABORYour crew's hoursReal hours for every task your crew self-performs, at your cost and bill rates, for your foreman to review.
- 5 · CODE CHECKCode reviewChecks every takeoff and sub quote against the residential building code before you see it.
- 6 · PROPOSALBudget and proposalBuilds the JobTread budget and drafts a branded proposal with one price and every allowance documented.
| Sub | Price | Scope match | Status |
|---|---|---|---|
| Sub A | $18,450 | All 42 devices, 200A panel | Complete |
| Sub B | $16,900 | Missing smoke/CO and panel | Gap |
| Sub C | — | Reminder sent Tue | Waiting |
- Conservative: when two costs exist for the same work, it carries the higher one.
- One number: never a wide price range, just one price with allowances spelled out.
- Real labor: every task your crew self-performs gets a labor line with real hours.
- Follow-up: flags every estimate that's gone quiet for 14 days so no bid dies on your desk.
- Instant ballparks: gives a budget number from your own past jobs while the full estimate is built.
Sales Lead
No lead left on the table. The Sales Lead answers every inquiry, scores it, books the walkthrough and keeps following up until the job is signed or closed out.
- Replies to every call-back request, web form and ad lead the same day, with a draft for your OK or a confirmation you've approved once.
- Screens out spam and tire-kickers with your own red-flag checklist.
- Books walkthroughs on your calendar and sends reminders.
- Sends the before-visit questions so you arrive knowing the scope and budget.
- Follows up on every open proposal on a schedule you set.
- Keeps every customer, conversation and status in one CRM.
Project Management Lead
Jobs that finish on time and on budget, with customers who know what's happening. The PM Lead keeps schedules current, watches labor against budget on every job and keeps change orders and owner updates moving.
| Job · phase | Budget hrs | Actual | % done | Hours used |
|---|---|---|---|---|
| 38 · Rough framing | 120 | 84 | 75% | |
| 41 · Siding | 96 | 88 | 60% | |
| 44 · Deck framing | 40 | 14 | 40% |
- Labor budgets: locks the hours at contract award, then tracks crew time against them by job and phase, using percent complete from JobTread.
- Schedules: keeps every job's schedule current in your standard build sequence, and flags material lead times and inspections.
- Daily logs and photos: checks that every active job has its daily log and site photos.
- Change orders: drafts them the day the scope changes, so extra work gets paid.
- Owner updates: drafts a weekly progress note for each customer.
Marketing Lead
Turn the work you're already doing into the reviews and posts that bring the next job. No agency retainer.
- Google reviews: asks every happy customer for a review at the right moment, after the work is delivered.
- Google Business Profile: drafts posts from your finished jobs and site photos.
- Project stories: turns before-and-after photos into posts and portfolio pages.
- Ads oversight: watches Facebook and Google ad spend and results, and flags what's working.
- Lead sources: reports which channel brought in which signed job.
Admin Lead
The paperwork that shuts down a job when it's missed. The Admin Lead tracks every certificate, license, renewal and filing, and gets payroll and taxes ready on time.
| Item | Due | Status |
|---|---|---|
| Roofing sub liability certificate | Expired | Fix |
| Workers' comp audit packet | In 12 days | Ready |
| Company truck registration | In 18 days | You |
| Quarterly estimated taxes | In 26 days | Drafted |
| Contractor license renewal | In 29 days | Reminder |
- Insurance and compliance: policies, renewals, workers' comp audits, and a current certificate for every sub on every job.
- People and payroll: weekly payroll prep, new-hire and sub paperwork, W-9s, year-end W-2s and 1099s, the retirement plan.
- Assets and renewals: licenses, vehicle registrations, permit portals, company filings and warranties.
- Inbox and filing: sorts new email into what needs you, what's FYI and what belongs to another Lead, and files every document where you'll find it.
IT Lead
Keeps the whole system safe and running. The IT Lead checks your apps and connections every morning, before anyone notices a problem.
- Daily security review: checks your app and database for open doors, and reports anything that needs closing.
- Connections: confirms QuickBooks, JobTread, email and calendar are all connected and syncing.
- Leads' health: flags any Lead that didn't run or came back with errors.
- Logins and backups: two-step sign-in on every account, website and data backups confirmed.
- Costs: tracks what the AI itself costs to run each month, by department.

About Mike Bicho
Thirty-five years in finance, operations, consulting and construction. I've run the books, run the logistics, run the consulting projects and run the job site. Office GC puts all four to work for your company.
I built this for my own company first
When we started Southcoast Building, I saw the same thing every contractor sees: great work in the field and a back office held together with late nights. I spent my career building systems for large companies. So I built one for a construction company, with AI doing the desk work and me approving it.
It worked. Now I'm bringing it to other contractors, so they can grow without drowning in paperwork.
